Overall Purpose:


We are seeking a detail-oriented and motivated entry level Talent Acquisition Associate I to join our Talent Acquisition team. This role will support the recruitment and hiring process by handling a variety of tasks, such as scheduling interviews, entering internal job changes, processing data entry through onboarding, coordinating background checks, and ensuring a smooth onboarding process. The ideal candidate will be eager to learn and gain hands-on experience in the field of recruiting and talent management.

Job Responsibilities:



  • Preform data entry tasks with a high level of precision and attention to detail.

  • Coordinate and schedule interviews between candidates and hiring managers, ensuring availability and proper communication, as needed.

  • Accurately input and manage applicant data in the applicant tracking system (ATS), ensuring information is up-to-date and correctly processed.

  • Accurately input and manage job changes in the ATS pertaining to internal mobility, ensuring data is correctly processed.

  • Coordinate and facilitate pre-employment testing sessions, serving as the organization’s Testing Lead. Ensure testing is conducted in accordance with company policies and that testing scores are properly maintained.

  • Initiate, monitor, and validate pre-employment screening processes in collaboration with third-party vendors, ensuring compliance with company policies and legal requirements.

  • Proactively aid in the timely completion of employment verifications, education verifications, and reference checks as needed.

  • Communicate with candidates regarding background check procedures, timelines, and expectations. Partner with Employee and Labor Relations (ER/LR), TA, and Legal on adverse actions when necessary.

  • Provide administrative support to the TA team by preparing recruitment reports, assisting with onboarding procedures, and sending appropriate new hire paperwork to union hall.

  • Learn the intricacies of union contracts and how they relate to the recruitment process, particularly in terms of internal hiring, promotions, and job bidding.

  • Assist in managing internal bidding processes for unionized positions, ensuring compliance with contract stipulations and timelines.

  • Work with senior recruiters, the Manager of Talent Acquisition and Internal Mobility, and ER/LR to ensure that job postings, promotions, and transfers are conducted in accordance with union agreements. Post external roles within Applicant Tracking System (ATS).

  • Maintain clear, timely communication with candidates and internal customers throughout the recruitment process, providing updates and answering questions as appropriate.

  • Communicate with newly hired employees, managers, and business support about upcoming employee starts.

  • Assist with additional entry-level talent acquisition functions as needed, including candidate sourcing, job postings, and attending recruitment events.

  • Support HR initiatives and projects as needed, contributing to the overall success of the Talent Acquisition team.


 


Education/Experience:



  • Bachelor’s degree in human resources, business administration, or related discipline required.

  • One (1+) or more years of related experience preferred.

  • Experience in an administrative role or customer service is preferred, but not required.

  • Experience with an Applicant Tracking System and/or HR Information System, such as SuccessFactors, strongly preferred.

  • Valid driver’s license required.

Scope:


Responsibilities are generally tactical and basic in nature, however work may vary in type and complexity, requiring the incumbent to be flexible to adjust to the given situation. Primary focus is on daily deliverables and outputs, while at the same time developing a knowledge of the broader context in which the work is being performed.


 


Decision Impact:


Independent discretion or decision-making capability is mostly limited. There is normally a general framework of established boundaries to help employees perform their roles and make decisions. Situations that require deviation from this general framework are typically not made alone. The employee may recommend a solution, however the recommendations are frequently presented to their manager or more senior level professionals for review and approval prior to the decision being made.


 


Hybrid Work:


Position follows our hybrid work model, with a minimum of four days working in the office and the remaining day working remotely. Reporting location and frequency may be subject to change based on job role and department needs.


 


Storm Roles:


All Non-Union Employees will serve in storm roles as appropriate to their role and skillset. Please be sure to discuss storm roles with the hiring manager for this position, as duties can vary across the Company. Examples of storm roles could include but aren’t limited to duties such as: working with operations for service center support or with the communications, customer service, or government affairs teams to respond to public and customer requests for information, etc.


 


Data Governance:


Utilize data to make business decisions as appropriate for the position, support data stewardship activities and partner with IT on underlying data needs.
