Summary 

This position is responsible for Caravan Facilities Management’s operating strategy and account development at the client location over several locations, knows the client’s operating profile, current and potential service requirements, and alternatives for creative service applications, labor utilization, and application of new technologies. Determines the resource levels required by the site and secures client authorization for adjustments to the services, staffing, equipment, and material contracts. The Operations Manager maintains close communication with key senior managers at the plant, as well as Caravan Facility’s Management direct reporting lines.  This role requires frequent travel in and out of state.  Primary sites will require travel to Bedford, IN; Kokomo, IN, Fort Wayne, IN and Bowling Green KY.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Learn customer safety requirements and ensure that all Caravan Facilities Management staff and subcontractors are trained in and fully comply with customers and Caravan Facilities Management safety policies and procedures.
  • Review all safety incident reports and corrective actions to prevent future recurrence. During the site visit, observe safety practices and conduct monthly safety briefings for all site managers & supervisors.
  • Compile the Site Operating Plan (tasks, frequencies, staffing, methods, material & equipment) to comply with the contract, satisfy customer expectations and ensure worker safety.
  • Identify opportunities for improved processes and technologies, customer coordination, material delivery and use, staffing efficiencies, and cost reduction.
  • Identify operations and maintenance practices to improve efficiency and performance and reduce costs.
  • Adjust operations to respond to customer concerns and suggestions.
  • During the sales and mobilization phase, evaluate resource and staffing requirements and provide input to sales for pricing structure.
  • Provide site manager with hiring guidelines, participate in employment interviews, and approve site manager’s recommendations.
  • Review site manager’s compliance with new employee processing for human resources, payroll, initial safety, and operational training.
  • Review site managers’ training schedules.
  • Review all disciplinary actions by the site manager and confirm proper documentation before terminating any employee.
  • Similarly, oversee service and material procurement, subcontracts, and contract administration and payment.
  • Ensure that all corporate procedures for purchasing, customer invoicing and collection, contractor invoice approval, and processing are met.
  • Confirm the site’s plan for material, tools, and equipment specifications, inventory levels, training, and delivery programs.
  • Review flat rate billing programs and coordinate invoice approval and billing procedures to expedite timely payment by customers for material items.
  • Drive suppliers to promote new technologies to improve performance and reduce costs.
  • Identify clients’ senior managers and encourage feedback on performance.
  • Resolve any major complaint or problem immediately and ensure root cause corrections are implemented.
  • Identify new business opportunities for projects, contract staffing, and new services.
  • Advise sales of general background on customer operations, plans, and personnel.
  • Notify sales of opportunities for new programs/services, introduce appropriate contacts, and support proposal and closing process as requested by sales.
  • Develop a proposal (short form) for project work and review it with sales before submitting it. Secure acceptance by the client.

Education and/or Experience Bachelor's degree (B. A.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Language Skills 

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should have knowledge of Contact Management systems; Internet software; Inventory software; Manufacturing software; Order processing systems; Payroll systems; Project Management software; Spreadsheet software, and Word Processing software.
