Job Summary:  Responsible for the recruitment process from start to finish including but not limited to: managing job postings and advertisements, orientation, onboarding and reporting. Support the Associate Administrator of Operations and Human Resources by assisting with various human resources functions such as tracking various employee clinic required tasks, assist with benefit questions and policy interpretation and implementation. 

Required Knowledge, Skills, Abilities:  

  • High school graduate or equivalent.
  • Proficient knowledge of Microsoft Windows applications, including word processing and spreadsheet programs.  Ability to type 50 words per minute.
  • Proficient in written and oral communications – able to spell correctly and demonstrate good writing skills.
  • Skill in establishing and maintaining effective working relationships with employees and the public.
  • Excellent organizational skills and the ability to multi-task.
  • Ability to read, interpret, and apply Clinic policy and legal requirements.
  • Ability to adapt to changing assignments and work pace.

Preferred Qualifications:  

  • Bachelor’s degree in Human Resources, Business Administration or related field.
  • Two years experience in talent acquisition or recruitment.
  • Two years experience working in a human resources department.
  • Previous experience working in a medical environment.

Essential Functions:  

  • Manage all job postings, position numbers and advertising ensuring accuracy.
  • Collaborate with hiring managers to understand qualifications, skills and experience required for each open position.
  • Proactively use a variety of strategies and platforms for acquiring new talent and keeping job postings toward the top of applicant searches.
  • Coordinate all aspects of employee onboarding. This includes: utilizing clinic pay scales to verify starting wages, sending onboarding experiences, entering in pre-hire information, conducting in person new employee orientation each week, entering post hire information into ADP, coordinating TB program compliance and troubleshooting applicant and/or employee onboarding issues.
  • Schedule and coordinate second session orientation.
  • Monitor the human resources department’s “Careers” email account.
  • Complete reporting on the following: recruitment, application volume and sources of hire, position postings, cost to hire, advertising costs and turnover data.
  • Work with department leadership to maintain up to date job descriptions (both content and format).
  • Assign and track parking passes.
  • Employee change of status forms: assign position number, remove job posting, update human resources position control and job posting tracker, create new name badge and ensure departments submit new job posting, if applicable.
  • Coordinate annual signature page completion.
  • Coordinate medical student externships & job shadows.
  • Coordinate annual OSHA training completion.
  • Update and maintain the employee phone directory.
  • Respond to reference checks, verifications of employment and unemployment claims.
  • Understand benefit enrollment process and answer employee questions regarding the Clinic’s benefit programs including medical, dental, life disability workers compensation and COBRA insurances; retirement plan, pre-tax & health reimbursement account programs and other fringe benefits. 
  • Assist Associate Administrator of Operations and Human Resources with various tasks and projects as directed.
  • Provide guidance regarding the application of Clinic policies and employment law issues.
  • Maintain strictest confidentiality.

Other Duties:  

  • Assist with all human resources scanning and filing.
  • Provide back up to the human resources department.
  • Travel to all Salem Clinic locations as needed.
