Position Title: Compliance Specialist

Reports To: Compliance Manager

Position Summary

The Compliance Specialist, reporting to the Compliance Manager, will be responsible for reviewing and completing client audit and compliance requests. This role requires close collaboration with customers, and internal departments. The ideal candidate will have strong communication, organizational, and time management skills, with the ability to meet deadlines. This is a primarily remote position.

Major Responsibilities

  • Oversee client audit and compliance requests from initiation to completion, exercising discretion in determining the approach and resources needed for each request.  This includes collaborating with internal teams, answering questionnaires, completing forms, selecting appropriate supporting documentation, and prioritizing tasks to meet deadlines. 

  • Prepare and submit documents for electronic or wet signature.

  • Respond to customer requests for company information, procedures and policies.

  • Organize the workload within the Salesforce CRM Support Request record as part of the Client Assessment queue, including status changes, notes and attachments, chatter communications, etc. in relation to each request.

  • Regularly use Salesforce CRM for tasks such as researching Customer details, reviewing Contract pages, Chatter communication, generating occasional reports, and reviewing call routing attributes.

  • Maintain product knowledge and understanding basic compliance and technical requirements to address client audit and compliance inquiries.

  • Stay informed about common compliance and regulatory requirements clients pass down within contracts.

  • Coordinate, attend and lead phone conferences with clients as necessary in relation to audit or compliance requests.

  • Assist with coordination of the Client Assessment Queue and Emails, reviewing new support requests and emails as they come in on through MS Outlook and the Salesforce CRM, ensuring accuracy of submissions and assigning to members on the Compliance Team

  • Demonstrate strong time management by completing audit requests and other projects by their deadlines.

  • Communicate clearly and effectively, showcasing strong verbal and written skills.

  • Coordinate multiple projects in a fast-paced environment, exercising independent judgment in determining project priorities, resource allocation, and workflow adjustments with strong attention to detail and accuracy. 

  • Proactively take ownership of daily tasks and responsibilities while prioritizing tasks

  • Completes daily tasks with minimal to no errors and produces consistent work quality

  • Ability to conduct independent research of internal policies, procedures and other content available displaying strong investigative skills, and the ability to work independently, utilizing discretion to identify and resolve complex compliance issues.  This includes advising management on potential risks and recommending appropriate solutions or actions. 

  • Foster a positive and collaborative work environment with colleagues.

  • Perform other assignments as requested by management

  • Support LLS’ Quality Management System (QMS) to continually improve the Division’s processes, procedures, and services; and thereby increase efficiency, productivity, effectiveness, and customer satisfaction.

The minimum and maximum full-time annual salary for this role is listed below. Please note that this salary information is solely for candidates hired to perform work within this location. Experience and education refers to LanguageLine Solutions’ current salary range for this position. US (Remote) pay range is $58,000.00 - $70,000.00 USD annually and CA (Remote) pay range if $66,560.00 - $70,000.00 USD annually, depending on experience.

Candidates hired to work in other locations will be subject to the pay range associated with that location, and the actual annualized salary amount offered to any candidate at the time of hire will be reflected solely in the candidate’s offer letter.

Qualifications

  • 2 to 3 years’ experience in contracts, compliance or risk management.

  • Experience in sales or customer service a plus.

  • Proficiency in MS Office programs (Teams, OneDrive, Excel Word, PowerPoint, Outlook.)

  • Experience with Salesforce CLM and/or CRM a plus.

  • Excellent analytical and problem-solving skills, with the ability to effectively collaborate with stakeholders at all levels of the organization. 

  • Strong time management, organization and note-taking skills

  • Exceptional communication and interpersonal skills. 

  • Experience in managing multiple projects in a fast-paced environment, with strong attention to detail and accuracy. 

  • Maintain confidentiality and handle sensitive information with discretion and professionalism
