Summary and Scope of Position:

The HR Administrative Coordinator (HRAC) is responsible for providing primary administrative support to the HR team, including operational and strategic initiatives, while providing excellent and highly professional customer service to prospective, current and former employees of the College. 

Specific Responsibilities:

  • Creates a positive and welcoming experience for those contacting the HR Dept.
  • Provides quality customer service support to employees in a timely, professional manner. 
  • Provides administrative support to the HR team, including scheduling meetings, presentations, correspondence, and announcements.
  • Works with the Director on recruitment processes for posting and managing open positions and removes posting when position is filled.
  • Completes onboarding for all newly hired staff and faculty, including background screenings, collecting required new hire paperwork, and scheduling of first day with Tech Support and Supervisor.
    • Collect and file new hire paperwork for student employment including the completion of I-9s.
    • Assist with collection of new hire paperwork for summer employment and background screening as required.
  • Inputs new employee data into HRIS (Oracle).
  • Works with Benefits Administrator and Oracle system for HR processing of new hire information, changes, and terminations.
  • Maintains accurate records needed for compliance purposes including compliance of background screenings.
  • Assists with HR team to develop, improve, and execute strategies and processes for providing performance management, compensation administration, and training and development to employees and supervisory staff.
  • Under direction from HR Director, implements changes as appropriate to the Human Resources, new employee landing page and New U web pages.
  • Oversees general operations of the HR office including maintaining, organizing, and ordering office supplies.
  • Participates within the wellness committee, New U (Nurturing Employee Wellness at Ursinus), eventually taking a leadership role:
    • Creates monthly newsletter
    • Plans lunch & learns, activities, trainings, and outings
    • Runs committee meetings
    • Plans and coordinates annual wellness fair
  • Assists with budget processing for credit card and monthly invoices.
  • Answers and redirects incoming calls from the college switchboard as needed.
  • Maintains personnel files and processes mail and faxes.

Qualifications:

  • Associate degree required, Bachelor’s degree highly preferred or equivalent of education and general human resources knowledge and experience.
  • 2-4 years of experience in office management.
  • Must have excellent customer service and organizational skills.
  • Strong computer skills with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and HR information systems including report writing tools.
  • Must be detail oriented, have ability to multi-task and work in a deadline-driven environment.
  • Must have ability to maintain confidential information.
  • Must have ability to work independently.
  • Must have strong communications skills.
  • Must be a strong team player.
  • Strong preference to those with higher education employment experience.
  • Strong preference to those with Oracle HR / Payroll system experience.
