SUMMARY

This position provides clerical and administrative support for the Solid Waste Collection and Disposal. Responsibilities include answering phones and emails concerning requests, creating, and tracking work orders, performing timekeeping duties for both divisions, compiling information, and preparing various reports, maintaining personnel and other operational files.

ESSENTIAL RESPONSIBILITIES

  • Maintains all payroll records, timesheets, leave requests and serves as the timekeeper for the assigned departments.
  • Processes payment vouchers with proper documentation.
  • Assists in creating and generating reports.
  • Communicates with the Public daily regarding request related to Solid Waste.
  • Answering incoming calls and assisting customers and residents with inquires or concerns.
  • Making outbound calls to follow up with customers and residents.
  • Prioritize calls according to urgency and importance. Dispatches complaints that need immediate attention to the proper supervisor via phone.
  • Operates computer system for creating service request, assigning service request, and closing out service requests.
  • Handles all incoming and outgoing mail for Solid Waste Collection and Solid Waste Disposal.
  • Maintains departmental personnel records, and prepares personnel dockets and related forms upon hiring, promotion, temporary assignments, resignation, or termination of employees.
  • Preparation and payment of payment vouchers, miscellaneous invoices, etc. scans invoices in and emails supporting documents to purchasing.
  • Keeps records of uniform service on a weekly basis.
  • Keeps records of locker assignments.
  • Assumes duties of Administrative Assistant I during their absence.
  • Assists employees with questions pertaining to benefits and City Policies and the completion of medical/dental forms or employee assistance forms.

MINIMUM REQUIREMENTS

A high school diploma or its equivalent (GED) and two (2) years of administrative experience dealing with high public contact are required.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to operate standard office equipment including a calculator, ten-key, copier, scanner, and multi-line telephone system.
  • Proficient in the use of a computer for data entry, word processing and accounting purposes.
  • Ability to establish and maintain an effective working relationship with co-workers and the public.
  • Skill in effectively communicating verbally and in writing with the general public, vendors/suppliers and City employees.
  • Ability to use or learn to use highly technical computer applications.
