Position Purpose:
Under the supervision of the Home Health President, the Home Health Administrative Assistant is responsible for providing administrative support to ensure the efficient operation of the home health office. The Home Health Administrative Assistant provides administrative and office support for associates and customers through various organizational and communication tasks. All assigned duties are completed accurately and delivered with high quality in a timely manner. They will serve as a resource for information relating to the company’s services. Accountable for communicating any barriers to completing assigned duties to their supervisor.
Organization:
This position reports to the Home Health President.
Essential Job Functionsinclude the following.
Administrative Support: Manage patient records, handle phone calls, and perform general office duties.
Provide administrative support to the PCH, to include assisting with expenses, emails, and calendar coordination.
Billing and Insurance: Assist with billing processes and insurance claims.
Communication: Act as a liaison between patients, families, and healthcare providers.
Compliance: Ensure all activities comply with healthcare regulations and standards.
Maintains confidentiality of all information pertaining to clients, families and associates.
Personally greet individuals who visit the branch office and direct them to the appropriate person.
Prepare and coordinate general and role-specific orientation and onboarding for new hires according to established guidelines, in conjunction with PCH Leadership and supervisor.
Enhances service reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
Greet and assist PCH visitors in coordination with the Office Manager to properly direct them to the healthcare department.
Answer dedicated phone lines promptly and courteously; utilizing all healthcare protocol requirements provided to ensure urgent calls are promptly transferred to dedicated healthcare providers. Takes thorough and timely messages for non-urgent calls.
Manage incoming and outgoing PCH mail and packages, in coordination with the office manager.
Manage PCH supplies and durable medical equipment supply levels, as needed.
Maintain a current supply of office forms and supplies, orientation packets, assessment packets, etc.
Maintains positive and effective communication with all associates and customers.
Maintain positive relationships with outside vendors; research vendors as required for specific PCH needs.
Assist with promotional ordering and maintaining products for healthcare events, as needed.
Assist with patient and employee appreciation events.
Assist in managing patient records, and provider schedules, and coordinating timely scheduling of services in coordination and under the direction of PCH leadership.
Work with various departments on varying needs, utilizing strong coordination and communication methods.
Have a general working knowledge of Microsoft Office Suite
Manage fax distributions and other paperwork needs.
This position will be an in-office position.
Other duties as assigned.
Knowledge & Experience:
High School Diploma or GED
Minimum 1+ year(s) professional experience in the Home Health setting, preferred.
1-2 years preferred work in an office setting
Medical knowledge, patience, compassion, kindness, critical thinking skills, knowledge of infection control practices, stamina, and physical endurance, observational skills, knowledge of occupational hazards and safety rules, communication skills, leadership, empathy
