At the corporate level, the Fleet Compliance Specialist ensures that the organization’s safety objectives are met by managing compliance software tools, regulatory trend reporting, and aligning corporate policies with FMCSA and other regulatory standards. By analyzing leading and lagging indicators and facilitating corporate reviews, the Specialist provides valuable insights that drive strategic decision-making. Their work supports the company’s commitment to safety excellence, streamlines processes, and enhances the overall safety culture, safeguarding the organization’s reputation and ensuring operational continuity.


Reporting to the Director of Fleet Services, the Fleet Compliance Specialist plays a crucial role in managing and maintaining various safety compliance software tools and Fleet Maintenance systems. This role is responsible for overseeing corporate leading and lagging indicator reports, ensuring drug testing compliance, and managing training systems. The Specialist will also ensure that corporate policies and procedures align with FMCSA and other regulatory requirements, collaborating on corporate initiatives and projects to streamline processes. This role is demanding of organization and administrative excellence.


COMPETENCIES/SKILLS

 

  • Knowledge of FMCSA and Regulatory Standards:?Comprehensive understanding of FMCSA regulations and other relevant DOT safety standards, with the ability to apply this knowledge to ensure compliance across the organization. 
  • Project Management:?Strong Fleet management skills, including the ability to plan, execute, and oversee a Fleet of 2500+ units related to compliance and process improvements. 
  • Administrative Skills:?Proficiency in administrative tasks, including data management, report generation, and document control, with a focus on accuracy and efficiency. 
  • Organizational Skills:?Exceptional organizational abilities, particularly in maintaining detailed fleet records, managing multiple tasks simultaneously, and ensuring timely completion of responsibilities. 
  • Attention to Detail:?A meticulous approach to all aspects of work, ensuring that Fleet/DOT compliance and reporting are handled with precision and care. 
  • Communication Skills:?Strong verbal and written communication skills, with the ability to effectively convey complex information to diverse audiences.

RESPONSIBILITIES

  • Fleet Compliance Management:?Oversee and manage multiple safety compliance software tools and systems, ensuring accurate data entry, system integrity, and regulatory compliance. (DISA, Dossier, AP, ERP, Fleet Fuel) 
  • Reporting & Analysis:?Maintain and update corporate leading and lagging indicator reports, providing detailed analysis and insights to support decision-making. 
  • Regulatory Alignment:?Ensure all corporate policies and procedures are up-to-date and in full compliance with FMCSA and other relevant regulatory requirements. 
  • Training & Compliance Monitoring:?Manage and track CDL Driver’s, ensuring all required training is completed in a timely manner and meets regulatory standards. 
  • Drug Testing Compliance:?Oversee the administration of drug testing programs, ensuring compliance with corporate policies and regulatory requirements. 
  • Corporate Initiatives & Projects:?Collaborate on corporate projects and initiatives aimed at streamlining processes and improving overall safety compliance. 
  • Facilitation & Communication:?Facilitate corporate reviews and discussions during monthly meetings, ensuring clear communication of Fleet metrics and compliance updates to all stakeholders. 
  • Record Keeping:?Maintain organized and accurate records of all Fleet/DOT compliance activities, reports, and communications. 
  • Professional Interaction:?Interact professionally with all levels of personnel, including frontline managers and the corporate executive team, demonstrating strong communication skills and a collaborative approach. 


Requirements

QUALIFICATION REQUIREMENTS 

 

Strong proficiency in Fleet Maintenance and compliance software tools and systems. 

Experience in managing compliance with FMCSA regulations and other relevant safety standards. 

Excellent organizational skills with a strong attention to detail. 

Ability to analyze data and produce detailed reports. 

Effective communication and facilitation skills, with the ability to engage with all levels of the organization. 

Proven ability to manage multiple tasks and projects simultaneously in a fast-paced environment. 

Demonstrated ability to collaborate on corporate initiatives and contribute to process improvements. 

 

EDUCATION REQUIRMENTS 

Bachelor’s degree or a related field; or 

Relevant experience in Fleet/DOT compliance, risk management, or a related area may be considered in lieu of a degree. 

Relevant safety certifications and credentials are highly desirable. 

PHYSICAL/ MENTAL REQUIREMENTS  

REASONING ABILITY: 

 Ability to deal with a variety of variables under only limited standardization. 

Able to interpret various instructions. 

COMMUNICATIONS ABILITY:  

Ability to communicate with various levels throughout the organization. Working knowledge to communicate risk, opportunity and wins. 

LANGUAGE ABILITY:  

 Ability to read and write a variety of books, magazines, instruction manuals and. Ability to prepare memos, reports, and essays using proper punctuation, spelling, and grammar. 

TRAVEL: Ability to travel to sites for meetings/trainings and/or audits as needed.
